A water well drilling rig quote should itemize the rig, compressor or mud pump, drill string, drilling tools, spares, documents, packing and delivery terms. Compare offers against the same borehole design, operating conditions and supply boundaries before comparing total prices.
Define the drilling program before comparing rig prices
Give every supplier the same hole schedule: drilled diameter by interval, target depth, casing dimensions, expected ground, number of holes and delivery destination. A request for a “200 m rig” does not establish the diameter, method or completion equipment required.
UNICEF’s 2025 Rwanda tender, for example, specified estimated depths of 100–120 m and different drilling diameters for overburden and hard formations. Those values belong to that project, not to every water well. Read the project specification, page 7.
Attach available borehole logs and identify what remains unknown. Ask each bidder to state the assumptions behind its proposed configuration and price departures from the same brief. Use the water well drilling rig selection guide if the equipment configuration has not been defined.

Itemize equipment and verify the compressor or pump duty point
Require a model, specification, quantity, unit price and supply status for every line. Distinguish included, optional, excluded and buyer-supplied items. Request the compressor’s air delivery at the intended pressure, or the mud pump’s flow at the required discharge pressure.
| Supply line | Information needed to compare quotes |
|---|---|
| Rig | Model, mounting, engine, rotary-head configuration, feed and pullback ratings. |
| Air or fluid system | Compressor or pump model, operating point, drive, hoses and connections. |
| Tools and rods | Part identity, dimensions, connections, length and quantity. |
| Casing and completion materials | Specified sizes and quantities, or explicit exclusion. |
| Spares and documents | Part numbers, manuals, inspection records and agreed support scope. |
A quotation that describes only a maximum compressor pressure is incomplete. Request the free air delivery at the intended working pressure, the units and reference conditions, and the exact configuration to which the figures apply. Do not pair the largest flow with the highest pressure unless the specification explicitly supports that operating point.
Calculate supplied rod length separately from rig depth capacity
Rod quantity is a purchase item; advertised drilling depth is an equipment rating. Record the nominal rod length, count, thread specification and spare allocation separately. Include adapters and starter tooling as identified items, rather than assuming they are supplied.
A quantity check is 100 rods × 3 m = 300 m of nominal rod length. This arithmetic example does not prove a 300 m drilling capability: assembled length, the downhole assembly, surface arrangement, allowable loads and operating conditions still need review.
Have the supplier identify the existing equipment it has checked against the proposed package. Photographs can support identification, but the order should contain the actual mating connection specifications and any adapters. For air-drilling interfaces, use the compressor and drill-string matching checklist.

Separate delivery responsibility from the equipment total
Incoterms® 2020 contains 11 rules. The ICC explains that these rules allocate delivery responsibilities, costs and risk; they do not replace the sales contract’s payment and quality provisions. ICC guidance on the scope of Incoterms® 2020.
Write the selected rule, named place or port and version into the quotation. Obtain packing dimensions and gross weights, then ask the freight forwarder to price the same cargo and destination. Identify insurance, clearance, duties and local transport according to the agreed allocation, not according to assumptions about a three-letter term.
Compare an equipment total and a separately reconciled acquisition budget. Keep fuel, consumable use and drilling productivity estimates in an operating model with their own stated assumptions.
Quotation comparison worksheet
Enter the suppliers’ confirmed information below. Leave unresolved entries marked “to confirm”; an unanswered supply line is not a zero cost.
| Comparison item | Quotation A | Quotation B | Question to resolve |
|---|---|---|---|
| Rig model and configuration | To confirm | To confirm | Are the equipment and capacity assumptions comparable? |
| Compressor or circulation equipment | To confirm | To confirm | Is the required compatible support equipment priced in each offer? |
| Rods, tools and adapters | To confirm | To confirm | Do quantities, connections and tool sizes match? |
| Spares, documents and support | To confirm | To confirm | What is included and what needs a separate order? |
| Packing and delivery | To confirm | To confirm | Do both totals use the same delivery scope and named destination? |
| Commercial terms | To confirm | To confirm | Are currency, payment terms, quotation validity and exclusions stated? |
Put inspection evidence and supply exclusions into the revised quote
Define dimensional inspection, documentation review, packing checks and any agreed witness tests as separate pre-shipment activities. A photograph of a running rig is not evidence that all of those checks have been completed.
Agree which checks apply to the order, the acceptance criteria, who witnesses them and what records will be supplied. List any training, commissioning, travel or translation charges explicitly. Ask for the quotation revision and date on every attachment.
- Dispatch: confirm the date equipment will be ready for dispatch, the conditions that must be met first and the evidence to be supplied.
- Replacement parts: record how parts are identified and ordered, including part references and the equipment to which each spare applies.
- Support: where training or commissioning is quoted, record its format, location, language, duration and cost allocation.
RFQ template: Itemized water well drilling equipment quotation
Complete these fields and attach the supporting records. Mark unknown inputs for technical review rather than filling them with assumptions.
- Project: [country and delivery location]; [target depth]; [diameter by interval]; [casing requirements]; [number of holes]; [ground records attached].
- Method and existing equipment: [specified method or technical review requested]; [owned equipment, models and documented specifications].
- Site conditions: [access restrictions]; [water, power and fuel availability]; [working space]; [required arrival date].
- Quotation fields: provide model or specification, quantity, unit of measure, unit price, line total and included/optional/excluded/buyer-supplied status for each item. Identify adapters, spares, documents and packing separately.
- Commercial terms: confirm currency, payment milestones, quotation validity, named delivery place, delivery rule and version, dispatch readiness and exclusions.
- Clarifications: identify information still required before the proposed configuration can be confirmed.
Send the hole schedule, equipment already owned, destination and required arrival date to request an itemized water well drilling rig quote. Ask for both the proposed configuration and the exclusions so the purchasing team can compare the same scope.

Frequently asked questions
What should a water well drilling rig quote include for an overseas project?
Include the rig configuration, compatible compressor or mud pump, rods, tools, adapters, spares, documentation, packing and delivery scope. Record quantities and exclusions. State the delivery rule with its named location and version, then price the destination costs allocated to the buyer.
How can I compare two water well drilling rig quotes with different prices?
First reconcile the technical configuration, quantities, support equipment and delivery scope. Request revised offers using the same project brief. Compare the resulting equipment totals separately from operating-cost estimates and identify unresolved items instead of treating them as free.
Does a 300 m water well drilling rig quote include 300 m of drill rods?
Only if the supply list says so. For example, 100 rods at 3 m each provide 300 m of nominal rod length. That quantity is not proof of drilling capacity and excludes the effect of the assembly, handling arrangement and operating conditions.
Does an Incoterms 2020 term define the rig warranty and payment terms?
No. The ICC distinguishes delivery rules from sales-contract terms. State warranty scope, payment milestones, inspection requirements and remedies separately in the agreement.
